Privacy Policy

Arena Fencing Academy provides in-person fencing instruction at 152 Franklin Turnpike, Waldwick, NJ 07463. We do not direct our services to, or knowingly solicit customers in, other states.

Many of our students are minors, so this policy is written for parents and guardians as well as adult students.​

What we collect on this website

Very little. This site is informational. The only personal information we collect here is what you type into our forms:

• Contact form and Coach Request Form: your name, email address, phone number, and whatever you write in the message.

These forms are provided by Wix, which hosts our website. Submissions come to us by email and are stored in our Wix dashboard.

We do not take registrations or payments on this website.

Registration, scheduling, and payments

Class registration, lesson booking, attendance, packages, membership, and payment all happen on a separate platform provided by ScheduleFencing (Gideon Popkin, LLC), at arena.web.schedulefencing.com. The "Book class" and "Buy Now" buttons on this site take you there.

When you use that platform, you provide your information directly to ScheduleFencing, and their privacy policy applies: https://schedulefencing.com/privacy

As the club, our staff account on that platform lets us see the information we need to run classes — student and parent names and contact details, bookings, attendance, and whether an account is paid or owing.

We do not have access to your payment card information. Card details are entered on ScheduleFencing's platform and handled by them and their payment processor. Arena never sees or stores them, and we cannot retrieve, change, or delete them.

If you have a question or request about your information, contact us first, at the address at the bottom of this page. We will handle what we can and tell you where to go for anything we can't.

Photographs and video

We photograph and record at practices, camps, and competitions, and publish selected images on this site and on our Facebook and Instagram accounts. Images may include students, and sometimes parents, families, and spectators who are present.

Posts involving minors use a first name only, along with the event and result. We do not publish last names, ages, schools, addresses, or contact details of minors.

Anyone — student, parent, or guardian — can opt out at any time, for any reason, without explaining why. Email us with the name and we will stop including that person going forward, and remove existing posts on request. Two limits we can't get around: images already reposted or downloaded by others may keep circulating, and photography at events we don't run is outside our control.

Opting out has no effect on any fencer's coaching, class placement, or competition opportunities.

Who we share information with

Only:

• Wix, which hosts this website and processes our form submissions

• ScheduleFencing (Gideon Popkin, LLC), which runs the registration and billing platform

• USA Fencing and tournament organizers, when required to register a fencer or enter an event

• Anyone we are legally required to disclose to

We do not sell your information, share it with advertisers, or receive anything of value in exchange for it.

Children

Neither this website nor the booking platform is designed for children to use on their own. Registration and booking are intended to be completed by a parent or guardian. We do not knowingly allow children under 13 to submit information to us through this website.

If you believe that has happened, email us and we will delete it.

Parents may review, correct, or ask us to delete information we hold about their child at any time.

Cookies and tracking

Our site runs on Wix and uses cookies necessary for it to function, plus analytics, site performance and security.

You can block or delete cookies in your browser settings, though parts of the site may stop working.

Third parties: Wix's analytics tools and the Instagram feed embedded on our homepage may collect information about your browsing over time. Their own privacy policies govern that, not this one.

How long we keep things

Form submissions are deleted within two years. Records held on the booking platform are kept while a student is enrolled, and afterward as long as tax and accounting rules require. Photographs stay in our archive unless you ask us to remove them.

Your choices

Email arenafencing@gmail.com and we will tell you what we hold about you, correct it, delete it, take you off our email list, or stop publishing photographs of you or your child. We are a small club — just ask and we will sort it out.

Security

Access to student and family records is limited to coaches and administrative staff who need it. Our website and the booking platform both run over encrypted connections.
